WatchOut, LLC Privacy Policy

WatchOut, LLC ("WatchOut," "we," "us") respects your privacy and your children's privacy. This policy explains what we collect, why, who can see it, and how to have it deleted. We do not sell or rent personal information.

1. What we collect

When you ask for a quote or book: your name, phone number, email address, and event details such as date, location, group size and ages, submitted through the quote form on our website.

When you sign up for Open Play date alerts: your email address.

Waivers: the participant's name, the parent or guardian's name and signature, and emergency contact details.

RankUp (our player progress app, used for leagues, open play and some events):

• Each player is shown by a call sign (a nickname), not their real name. Call signs are what other players and families see.

• We may record the player's real name and age group so staff can check them in. Real names are only visible to WatchOut staff and that player's own parent or guardian.

• Game results (such as scores, tags and wins), attendance, and the badges and levels a player earns.

• For parents and guardians who create an account: name and email address, and the link between your account and your child's player profile. Access to a child's profile is only granted through an invitation WatchOut gives to that child's parent or guardian personally.

Website: our website is hosted by Squarespace, which uses cookies and collects standard technical information such as browser type and pages visited.

2. How we use it

• To reply to quotes, confirm bookings and run events safely.

• To check players in, record results, and show players and their families their progress in RankUp.

• To send event updates, and — if you ask — Open Play date alerts and occasional news, which you can unsubscribe from at any time.

• To keep waiver and safety records.

3. Children's information

Our services are built for children, so we are careful with their information. We collect information about children only from their parent or guardian, or with their permission — for example at check-in or on the waiver. Children do not create their own accounts. A parent or guardian can ask at any time to see what we hold about their child, correct it, or have it deleted (see section 7).

4. Who we share it with

We do not sell personal information. We share it only:

• With service providers that help us run the business, such as Squarespace (website and quote form), Google (email and record-keeping), and the providers that host RankUp's database and app. They may only use it to provide their service to us.

• With a partner organization you registered through, such as a YMCA league, where needed to run that program.

• When required by law, or to protect someone's safety.

5. How we protect it

Access is limited to WatchOut staff who need it. RankUp is built so that families see players by call sign, a child's real name is visible only to staff and their own parent or guardian, and a parent can only see their own child's profile. No system is perfectly secure, but we take reasonable steps to protect your information.

6. How long we keep it

We keep booking and quote information for as long as needed to run the event and keep business records. RankUp player records stay active while a player takes part, and are deleted on request, or after two years without any activity. Waivers are kept for as long as our insurer or the law requires.

7. Your choices and rights

• Access, correct or delete: email us and we will respond within 30 days. For a child's information, the request must come from their parent or guardian.

• Unsubscribe from emails using the link in any message, or by contacting us.

• Photos: opt out, or ask for an image to be removed, at any time.

8. Changes

We may update this policy. The date above shows the latest version, and significant changes will be posted on this page.
